This is the Privacy Notice for Bosworth Water Trust, trading as Bosworth Water Park incorporating Friezeland Christmas trees, Festive firs & Friezeland pools. In this document "we", "our" or "us" refers to BWT.

Who are we?

BWT is a tourist attraction in the historic market town of Market Bosworth, we also carry out business and Christmas Tree wholesalers and retailers along with carrying out business as a fishery for pleasure and match angling.

We are a data processor and a data controller.

We are required to inform you of your rights and our obligations to you, in regard to, the processing and control of your personal data.

Camping, Caravan and log cabin reservations

  • Full name, address including postal code, telephone number and email address, payment card details and previous booking details.

School and group bookings (non-water-sports)

  • School name, School address, lead contact name, school email address, telephone number

School and group bookings (water-sport bookings)

  • School name, School address, lead contact name, school email address, telephone number.
  • Details of attending children to include, Childs name, home address, doctors address, details of any medical condition.

Instructor lead private lessons for children (under 18) and adults

  • Full name, home address, email address, telephone number doctors address, details of any medical condition.

Newsletter subscribers

  • Email address, Full name

Email enquiries

Fishing bookings (match and night fishing)

All Card payments at any business location other than telephone single bookings, car park payment machines and internet transactions.

How is your information used?

We collect information on the basis that there is a legitimate interest of doing so.

As part of providing our service we mainly use your personal information, but is not limited, to: responding to enquiries, making a booking, proving water sports lessons, ensuring the safety on people on instructor lead water-sports, dealing with complaints,

All our employees.

We will not share your information with third parties for any purpose.

We will not sell or rent your information to third parties.

When we use our third-party service providers, we disclose only the personal information that is necessary to

deliver the services.

We have ensured that their GDPR policy is of standard and that our service providers keep your information secure and not to use it for their own purposes.

Will not release your information to third parties unless we are required to do so by law or statutory requirement, or for the purposes of the prevention and detection of crime, fraud or corruption.

How is your information stored?

 

For camping, caravan & log cabin rentals via telephone and internet bookings.

  • Full name, address including postal code, telephone number and email address is stored electronically on our third-party system (camp-manager)
  • Payments are taken via a secured virtual terminal, no card details are retained electronically or via a hard copy at any time, our systems are fully PCI complaint.

For camping, caravan & log cabin rentals (face to face) and multiple booking made over the telephone.

  • Full name, address including postal code, telephone number and email address is stored electronically on our third-party system (camp-manager), details of all previous bookings are also retained.
  • Card payments are taken manually, a paper copy of the receipt is retained, this includes card number and expiry dates, no record to CVC is recorded.

School and group bookings (non-water-sports)

  • School name, School address, lead contact name, school email address, telephone number is stored in a paper diary, a copy of your invoice is stored electronically.

School and group bookings (water-sport bookings)

  • School name, School address, lead contact name, school email address, telephone number is stored in a paper diary, a copy of your invoice is stored electronically.

Christmas Tree Retail

  • If delivery is required, Full name, address, telephone number is stored as a paper hard copy.

Christmas Tree Trade

  • Company name, address, telephone number, email address, lead contact, trade references are stored electronically on our own secured computers, copies of invoices are stored in our sage accounting package.

All Card payments at any business location other than telephone single bookings, car park payment machines and internet transactions.

How long is your information kept?

We keep your personal information only for as long as required to provide the services you have requested; our timescales are set as the following: -

For camping, caravan & log cabin rentals via telephone and internet bookings.

  • If delivery is required, Full name, address, telephone number is stored as a paper hard copy. This information is destroyed after delivery.

Christmas Tree Trade

  • Company name, address, telephone number, email address, lead contact, trade references are stored electronically on our own secured computers, copies of invoices are stored in our sage accounting package. This information is kept without a time limit and will only be removed when you ask us to do so.

What security precautions are in place to protect the loss, misuse or alteration

of your information?

Once we receive your information, we make our best effort to ensure its security on our systems.

'Hard' copies are stored in a lockable cabinet in a secure, alarmed building.

Electronic information is stored on our secure computer server, the server and network is scanned regularly to ensure PCI compliance.

Whilst we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk.

How do we dispose of your information?

We ensure that personal data is disposed of correctly by the was of a cross cut shredder.

Electronic information will be deleted permanently from our server as detailed or when requested.

What rights do you have to access your personal information?

Under GDPR, you have the right to ask for a copy of the personal information we hold on you. We will provide this information free of charge within one month of receipt of the request. We can extend the period of compliance by a further two months where requests are complex or numerous, but we must inform you why the extension is necessary.

A charge may apply to more detailed and complicated requests.
